The Thomson Foundation (TF) is seeking to hire a project assistant for the project: ‘Supporting Greater Media Independence in the Western Balkans’.

Background

The aim of this CSSF funded media freedom programme is to develop and strengthen the editorial independence and business operation of the media, enabling them to provide citizens more effectively with a more diverse range of media content, and thus to encourage open, informed and active discussion amongst target audiences in the six Western Balkans countries.

The main beneficiaries of this are media outlets and those working within the media sphere (e.g. editors), but the programme will contribute to an impact focused on increasing citizen’s engagement with a wider range of media, and potentially (over the longer term) increasing levels of trust in media which demonstrate more balanced editorial policies.

This project will last from April 2020 until March 2022 and will operate across the six Western Balkans countries. It is implemented by consortium consisted of the British Council (lead partner), Thomson Foundation, BIRN and Intrac.

SCOPE OF WORKThe project assistant will support the TF project team in activity related financial reporting and organising / providing logistics for all TF related activities within the project.

The project assistant main tasks will be to:

  • Gather, file, and shortlist for eligibility CVs of applicants for different expert positions
  • Gather, file, and keep records of expert’s timesheets and days distributed for experts
  • Providing support for travel and visa arrangements
  • Preparing monthly financial reports based on the program team estimations and implemented activities
  • Providing support to the TF financial officer – gathering, copying and archiving of activity related receipts and invoices
  • Providing support to the lead partner and TF team for the reporting process – editing, layout, printing etc.
  • Taking minutes at project meetings and distributing information to keep team members informed;
  • Review and editing of project documents;
  • Organizing and maintaining archives and databases (pool of experts, calendar of activities, etc.)
  • Other project management and admin tasks as assigned by the project coordinator and the project team
  • Assist in preparing activity budgets
  • Support with preparing contracts with TF experts and trainers
  • Maintain regular communication with the experts, media outlets and the project staff,
  • Regularly report to the TF management

REQUIREMENTSRelevant university or equivalent degree
Familiarity with international projects and their administration
Experience in financial reporting
Participating in multi-layered projects handling several activities with overlapping timelines,
Good time management skills and able to organize workload independently 
Fluency in English and at least one of the languages spoken within the Western Balkans
Ability to adjust to changes in priorities in a deadline-driven environment.

REPORTING REQUIREMENTSThe project assistant is obliged to report to TF project supervision and project coordinator.

At the end of each month, the expert will submit a time sheet for approval including the number of days spent and brief description of the activities and tasks performed as well as an invoice.
In addition, at the end of each calendar month, the expert will prepare a short overview of key monthly achievements, as a contribution to the overall project monthly report to be prepared by the project coordinator.

The timing of deliverables and their detailed content will be agreed with the project coordinator and TF supervision.

DURATION OF THE ASSIGNMENTIt is expected that the assignment will commence no later than 20 May 2020. The expert is expected to work from the start of the assignment, until the 15 November 2020. There is a likely possibility to extend the engagement beyond this date.
